What is The Two-Minute Apology Formula?

A proper apology has 4 components, and most people skip 3 of them: (1) What you did, (2) Why it was wrong, (3) How you'll prevent it, (4) What you'd like to do to make it right. A vague 'sorry' without these components is just noise. A specific apology transforms relationships.

How do you do The Two-Minute Apology Formula?

  1. 1.Component 1 — WHAT: 'I want to apologize for [specific behavior].' Not 'I'm sorry you felt that way' (that's not an apology). Name what you DID
  2. 2.Component 2 — WHY: 'That was wrong because [impact on them].' Show that you understand how your action affected them. This is where empathy lives
  3. 3.Component 3 — PREVENT: 'Going forward, I will [specific change].' This shows you've thought about it and have a plan. Without this, the apology feels hollow
  4. 4.Component 4 — REPAIR: 'Is there anything I can do to make this right?' Give them agency. Sometimes the answer is 'no, the apology is enough.' Sometimes they need something specific
  5. 5.Example: 'I want to apologize for canceling our dinner last minute. That was disrespectful of your time and I know you rearranged your evening for us. Going forward, I'll give at least 24 hours notice if I need to reschedule. Is there anything I can do to make it up to you?'
