What is Email Batching Protocol?

Tim Ferriss popularized email batching in 'The 4-Hour Workweek,' and subsequent research from the University of British Columbia confirmed that checking email in batches (2-3 times daily) rather than continuously reduces stress and improves productivity. Each email check triggers a context switch, and research shows context-switching can consume 40% of productive time. Batching converts email from a continuous interrupt into a contained task.

How do you do Email Batching Protocol?

  1. 1.Choose 2-3 fixed email check times (e.g., 10 AM, 1 PM, 4 PM) and ONLY check email during those windows
  2. 2.Close your email client and tab between windows — out of sight, out of mind
  3. 3.Set up an autoresponder informing people of your schedule and providing a phone number for genuine emergencies
  4. 4.During each email batch, process to zero: reply, delegate, defer (to a task list), or delete. Don't read an email without acting on it
  5. 5.Track your stress and productivity for 2 weeks of batching vs continuous checking — the difference is usually dramatic
